Minutes Village of Westport Commission

5. Monthly Financial Statement
a. June & July Financials

6. Old Business:
a. Asset Retirement Obligations Assessment: Report has been generated. Grant Thornton has reviewed. We are now waiting on recommended plan of action suggestions from Grant Thornton regarding how to budget for expected future costs.
b. Comm Hall doors and locks repairs/replacement:Number pad lock still has not been installed. Library door motor was just replaced. Replacement keys for double doors have not been received. The tumblers may have been reset to use the key we were originally given. Gordie to check.
c. Islands Medical Services:Gordie advised there are no impending changes to ambulance service for the area. He is looking into possible funding for a vehicle that could be used to transport patients to hospitals or a meet up point with ambulances. After a recent accident on the Island Gordie was able to get permission to transport a patient after speaking with a Doctor who approved the transport. If a vehicle is acquired and a license 4 is needed by an individual/individual the Village would arrange for this.
d. Veterans Signs:Post picture of Raymond Robicheau’s remembrance banner and open up to the community to see if families/groups/organizations are interested in funding banners fully or partially. Clerk to check in with Digby Signs for updated processing time and costs. Some families are already expressing interest in having banners produced. Clerk to check into accessing pictures and Veteran details needed for banners.
e. Audit Committee Meeting and training:Clerk has obtained website address with training. Will forward to commissioners and Audit Committee members via email to begin modules in advance of the meeting. Waiting on Grant Thornton for time and date.
f. Hall Rentals:After the last meeting some questions around hall rentals came up regarding when we would be charging fees. It was decided that fees would be charged for all rentals unless it was specifically a fundraiser for the Village of Westport. Individual periodic use of the Rec Hall for basketball/exercise will be of no charge.
g. Electrical work Rec hall & Community Hall:Gordie is going to make up a list of electrical work that needs to be done and reach out to a couple of electricians who may be able/interested. (Greg Amero & Darren VanTassel)
h. AGM scheduling:Pending date from Grant Thornton possibly October.
i. New Fire Truck:Gordie advised check has been sent. No ETA.
j. Ceiling Fans Rec Hall:Four fans need to be replaced. Fire Department is going to pay for the two fans located in the front and the Village will pay for the two located in the back.
k. Rec Hall Heater:Gordie advised Royal Propane advised we need a valve replacement and the tank needs to be replaced.
l. Beach steps:Steps are completed. Sign has been placed to advise use at own risk but Commission feels we need 3 or 4 more visible signs to state “use at own risk”. Clerk to reach out to Digby signs to check on options.
7. New Business:
a. New Clerk: Clerk has given notice. Will gather job description to be posted online, at store, and post office for replacement.
b. Rec Hall needs an industrial dehumidifier. After the very wet summer there was a noticeable musty mildew smell.

9. From the floor: Inquiry from Recreation Auxiliary regarding wether the park is covered under the village or Auxiliary after receiving a recent insurance statement. Clerk will email Brokerlink to inquire.
