Minutes Village of Westport Commission

- Monthly Financial Statement
- May Financials. Gordie Motioned to adopt. Trevor 2nd. Motion Carried.
- Old Business:
a. Asset Retirement Obligations Assessment: Matt from Aims has the data. Report will be sent to Aaron at Grant Thornton. They will advise when this has been done.
b. Comm Hall doors and locks repairs/replacement: Gordie advised Bruce would be coming tomorrow July 5th to look at the locks on the double glass doors in the Rec Hall that we have never had keys that worked. Either replace the lock/tumbler.
c. Island Medical Services: Gordie advised is still pending meeting with Jill Balser based on her availability.
d. Veterans Signs:Clerk advised the first banner has been completed. The total cost was $302. Discussion around posting a picture of the banner to the Village Website and to the Facebook group. Will be selecting at least one more to be produced this year and open up the option to Veterans families to see if they would like to fund a banner for a family member (or partially fund) in order to have their banner created earlier.
e. Audit Committee Meeting & training:Clerk advised training is available via a website. This can be sent to Audit committee/Commissioners. Still pending an Audit Committee meeting date as Year End cannot be completed until ARO reports have been completed and accounted for in Year End.
7. New Business:
a. Increase to Commissioners stipend from $500 to $750 a year in keeping with comparable Village Stipends. Gordie Motioned to adopt. Shelley 2nd. Motion carried. Clerk to produce checks for the stipend increase to all three commissioners.
b. Change to Hall Rentals. Discussion included concerns regarding rental fees, the booking procedure, and who fees would be applied to. It was agreed upon the following:
-All rentals will be charged the standard fees per date of rental.
-Only exception to these fees will be for fundraising for the Island.
-Use of the Rec Hall by an individual outside of an event, ie shooting hoops, no charge.
-Group practices, socials, will be charged the standard fee.
c. Electrical work at the Rec Hall & Community Hall: There continues to be issues with the electrical at both halls that will need addressing. The clerk/Gordy will reach out to Greg Amero to see if he would be able/interested in doing the work. Gordie will prepare a list of new work and repairs to existing electrical that need to be addressed.
d. Fire Truck:Gordie advised the Fire Department will be purchasing a new fire truck. They will need an Importer number for the Village. The clerk will get the # and provide it to Gordie. The Village will initially pay the taxes on the Fire Truck and Gordie advised the fire department will refund any taxes we do not get back for this purchase.
e. Ceiling Fans in the Rec Hall need replacement: Gordie confirmed the cost of the fans can be billed to the Fire Department.
f. Heater in the Rec Hall needs service by Royal Propane: Service call required
g. Beach Steps:We are currently waiting on a permit. Once this as been received it is anticipated Russell D’Entremont will begin work.
